What is it?
Project settings is where admins manage the tracking projects inside a Prism project. A tracking project (also called a child project) follows one channel, such as Google rankings or the LLM Tool, for one domain, location and device.
Why use it?
Use it to add a new tracking project, change a location or frequency, pick a refresh day, update your keyword or prompt list, delete a project you no longer need, or check who created a project and when.
Before you start
- You must be a project admin or owner. See Roles and permissions.
- To create your first tracking project, follow Set up a project.
How to use it
Open the Client panel
In the Prism panel, click Settings in the System group of the left sidebar.
Pick the project
In the Client panel sidebar, check the project under Your projects. Click it to switch to another one.
Open Project settings
Under Workspace, click Project settings.
Choose a channel tab
Pick Google, LLM Tool, Bing Rankings, YouTube, Play Store or App Store.
Find the tracking project
Use the filters to narrow the table. In the Actions column, click View, Edit or Delete.
Save your changes
In the Edit project form, change what you need and click ✓ Save changes. The form closes and the table updates. Click Cancel to leave without saving.
Understanding the screen
Channel tabs
There is one tab per channel turned on for the project. If no channel is on, you see No channels are enabled for this project. Above the table, Prism shows how many tracking projects the tab has, such as 3 Google projects.
Filters
Above the table you can filter by:
- Search by name…
- Created and Updated date ranges
- Created by: anyone and Updated by: anyone (pick a team member)
- Frequency: any (Daily, Weekly, Monthly, Yearly, Once or None)
- Filter by location…
- Device: any (Desktop or Mobile), on the Google, Bing Rankings and YouTube tabs
Projects table
| Column | What it shows |
|---|---|
| Name | The tracking project's name. |
| Domain | The domain, channel ID or app being tracked. |
| Frequency | How often it refreshes, such as Daily, Weekly or Monthly. |
| LLM | The AI platforms checked. LLM Tool tab only. |
| Location | Where rankings or answers are checked, with the country below. |
| Language | The search language. |
| Device | The device type, or the app store. |
| Keywords | How many keywords or prompts the project has. |
| Created / Created by | When and by whom it was created. |
| Updated | When it was last changed, and by whom. |
| Actions | View, Edit and Delete buttons. |
Below the table, choose how many rows to show (10 / page up to 100 / page). Use the arrows or Go to to move between pages.
Delete a tracking project
Click Delete in the Actions column. Prism asks: "Delete "…"? This also removes its keyword data." Confirm to delete it.
The project form
The same form opens as Create project, Edit project or View project. Its fields are explained in Set up a project. In short:
- Sync Frequency options and LLM Platforms come from what is set up for your project. If they are missing, you see a hint asking you to contact your admin.
- App Store tracking only supports country-level locations. The location is set for you from the country.
- View project also shows Tracking Frequency with the time it runs, and for Google and Bing the Depth. These are "Set on the master project".
Advanced schedule
By default, a Weekly project refreshes every Monday and a Monthly project on the 1st of each month, at a set time in India Standard Time (IST). The form tells you the default, for example "Default: Every Monday at 09:00 IST."
To change it, tick Advanced schedule:
- Weekly: pick a Day of week and a Time (IST).
- Monthly: pick a Day of month from 1 to 28. "Days 29–31 aren't offered so every month gets a crawl." The time stays the default.
The form then confirms the new plan, for example "Crawls will run: Every Friday at 14:00 IST." Read more in Data sync schedule.
Keyword and prompt files
Files must be Excel (.xlsx or .xls). The header row must be exactly:
| File | Headers |
|---|---|
| Keywords | Keywords, Brand, Category, SubCategory |
| LLM prompts | Prompts, Category, SubCategory |
When you edit a project, the form shows how many keywords or prompts are uploaded now. Click Download current file to get them. Click Click to replace the keywords file to upload a new list, or leave it empty to keep the current one. Use Download sample file for a template.
On the LLM Tool tab you can also choose ✦ Generate with AI instead of Upload Excel. See Set up a project.
Keyword Setting
The Client panel also has a Keyword Setting group. It has the same channel tabs and uses the same Excel rules. Its Export Keywords button downloads your list (for example google-keywords.xlsx). Learn more in Keywords and prompts.
Example
For example, your Google tracking project refreshes Weekly on Mondays, but your team reviews rankings on Friday mornings. Open the Google tab and click Edit for the project. Tick Advanced schedule, pick Thursday and 18:00, and click ✓ Save changes. Fresh rankings are then ready for Friday.
