Roles and Permissions

What owners, admins and viewers can do in Prism, and how modules, page access and child project access decide what each member sees.

4 min read Updated

Every member of a Prism project has a role. The role decides what they can do. Separately, the project's modules, page access and child project access decide what they can see.

The three roles

RoleWhat they can do
OwnerEverything an admin can do, plus change a member's role and remove admins. The owner is the person who owns the project.
AdminOpen the Client panel (Team, Project settings, Keyword Setting). Invite members, set their page and child project access, and remove viewers. Create, edit and delete tracking projects. Sees every child project in the Prism panel.
ViewerSees reports in the Prism panel only. Sees only the Google SERP and LLM child projects an admin has granted. Cannot open the Client panel.

When you invite someone, you can choose admin or viewer. See Team members.

If you are an admin or owner on at least one project, you can open the Client panel. It only lists the projects where you are an admin or owner.

What a member sees

Three things decide what appears for a member:

  1. The project's modules. A project has modules turned on, such as Google, Bing, Play Store, App Store, YouTube, the LLM Tool and GA4 + Search Console. Pages for modules that are off do not appear. Advanced Analytics is an add-on that only some projects have. Unified Dashboard and Integrations & MCP are on for every project.
  2. Page access. An admin can limit one member to some pages with Manage page (module) access on the Team screen.
  3. Child project access. Viewers only see the Google SERP and LLM child projects an admin has ticked for them. Everyone sees all Bing, YouTube and app store child projects.

So a member sees the modules turned on for the project, minus any pages restricted for them. A viewer also only sees their granted child projects.

Need a module your project does not have? Use Request access on the Unified Dashboard. See Request access to a module.

Tips

  • Keep the number of admins small. Give viewer to people who only read reports.
  • If a teammate cannot find a report, check their page access. If they are a viewer, also check their child projects.
  • Learn how the panels differ in Your account.

Frequently asked questions

What is the difference between an admin and a viewer?

A viewer can only see reports in the Prism panel, and only the Google SERP and LLM child projects granted to them. An admin sees every child project, can open the Client panel, invite members, manage tracking projects and remove viewers.

Who can change a member's role?

Only the project owner. The owner can also remove admins.

Why do I see This module isn't available?

The page is not turned on for the selected project, or your admin has restricted your page access. Prism then moves you to a page you can open. Contact your administrator if you need it.
